Custom database · Training and certification records
A private records system that shows a training company who needs to recertify, and when.
A crane operator training company keeps records for the operators, riggers and signal people it trains, the supervisors they report to and the companies they work for. Its database had become hard to trust: saving a record could drop information, filters returned the wrong people, and recertification searches missed most of the people they should have found. We took it over, fixed it and keep improving it in small, tested steps.

The Brief
The office staff depend on this system every day to find out who needs an exam or a recertification. It had to become accurate, and changes could never put the real records at risk.
Trust the data
Saving a record must never erase anything.
Find the right people
Searches that return exactly who matches, and nobody who does not.
Change it safely
Every improvement tried on a copy first, with a set go-live date.
What We Fixed and Built
Fixes first, then new features in small groups, each with a fixed quote approved before work starts.
Records that keep their links
Saving a record no longer drops its company or supervisor, and existing broken links were repaired automatically.
Filters that narrow
Choosing two filters now gives fewer people, not more, the way staff expect.
Recertification by type and date
Search by certification type and a date range, and only people whose matching certification falls in that range appear.
Export for outreach
One click exports the results to Excel, ready for contacting people about upcoming recertifications, with a tab that records the search used.
A clearly marked practice copy
A sandbox with a red label and amber colors on every screen, so nobody confuses it with the real system.
Scheduled, tested releases
The team tries each group of changes, sends feedback, and it goes live early in the morning before anyone starts work.
Questions About This Project
Can you take over a custom database someone else built?
Yes. We start by finding out what is wrong and why, fix the problems that affect the data, then add features in small, tested steps.
How do you keep client data private?
The system sits behind a login and is hidden from search engines, and we do not publish where it lives. We build and test on a practice copy, and nothing in this case study shows real records.
Do you work with companies outside Washington?
Yes. This client is out of state, and we work with them by phone, email and video.
Could you do this for my business?
That is what we do. Plan your project and we will send a clear quote, or start with a free audit of your current site.
